I.
OBJECTIVE The Facilities Manager is a working management position that: 1.
Provides oversight, direction, and management of Maintenance Technicians.
2.
Provides training to Maintenance Technicians on specific tasks and projects.
3.
Emphasizes workmanship, quality, safety, and customer satisfaction 4.
Assesses projects and breaks them into relevant components to be completed by Maintenance Technicians and vendors.
II.
RESPONSIBILITIES The essential functions of the job include but are not limited to the following: 1.
Staff Related Tasks a.
Oversee daily work of a team of Maintenance Technicians in the field and provide direction.
Serve as primary point of contact for questions and concerns.
b.
Oversee a variety of preventative, scheduled, and emergency maintenance at various properties across Altair’s portfolio.
Tasks to be generated, updated, and closed out in Altair’s Computerized Maintenance Management System (CMMS) adding recurring tasks as appropriate.
c.
Conduct daily spot inspections on randomized tasks as a quality assurance measure.
Each Maintenance Technician should be randomly inspected no less than once a week.
Inspections should vary and include both work in progress and work already completed.
d.
Dispatch outside contractors and service providers to ensure prompt performance of services when they are needed.
Meet or assign Maintenance Technician for vendors on site to provide access, locate utilities and provide site specific knowledge.
e.
Respond to tenant complaints, resolve qualitative issues, administer additional training and corrective action as appropriate.
f.
Walk each property no less than monthly (with Property Manager or Property Manager Assistant where possible), note any maintenance deficiencies and schedule corrective actions as needed.
These walks are periodically to be scheduled after hours to verify lighting conditions.
Tasks to be entered by PM when applicable.
g.
Self-schedule for specific tasks that require site visits, additional oversight, or support to ensure work is done in a prompt and correct manner.
h.
Participate in hiring and onboarding process with the Director of Operations.
Train new Maintenance Technicians on assigned properties and tasks.
i.
Conduct regular continuing education trainings on specific properties and best practices.
j.
Respond to escalated after-hours calls when additional support or guidance is needed and self-dispatch as appropriate in accordance with Altair’s on-call schedule.
k.
Participate in regularly scheduled calls with Director of Operation, Janitorial Manager and Maintenance Dispatcher.
Conduct bi-weekly “Team Huddles” with Maintenance Technicians, reviewing equipment needs, schedule needs, special projects, weather, etc.
l.
Assist Director of Operations and Property Manager in the creation of specifications for capital improvement projects at Client properties as assigned.
m.
Conduct quarterly one on one meetings with Maintenance Technicians emphasizing development and training.
n.
Serve as arbiter for Maintenance Technicians and any issues that arise between them.
2.
System Related Tasks a.
Adjust Maintenance Technician workflow based on task urgency, skill, and location.
Communicate changes to Dispatcher.
Inform Director of Operations of any staffing, equipment, or large material needs.
b.
Oversee timeclock usage, appropriate time, and location for punch-ins, and approve time off requests.
c.
Maintain tickets in Altair CMMS for all assigned tasks, track receipts and update time and travel.
d.
Supervise the maintenance and storage of Altair equipment.
Ensure all equipment is returned after use, kept clean, and in good working order.
e.
Keep relevant on-call data updated within Altair CMMS for all properties including preferred vendors, passwords and codes, key system locations and shutoffs.
f.
Maintain access control for digital and key systems, distributing keys, programming fobs, and changing lock timers as directed by Director of Operations or Property Manager.
g.
Be familiar with computerized energy management systems, access systems, computerized HVAC systems and security/fire protection systems, as well as other systems within the properties to assist the Operations Department with management of said systems.
h.
Clock in and out daily and add time off requests via Webclock.
i.
Stack emails daily using The Stack Method.
3.
Client & Tenant Related Tasks a.
Provide highest level of customer service and response to tenants.
Perform other duties as required for the successful operation of the business.
III.
QUALIFICATIONS Education: Bachelor’s degree or comparable trade experience – those with trade certification given preference.
Experience: 2 years in similar role.
IV.
SPECIAL REQUIREMENTS 1.
Knowledge of many types of building equipment and operating systems.
2.
Working knowledge of plumbing, electrical, HVAC, and carpentry.
3.
Self-directed and motivated.
4.
Customer-service oriented.
5.
Presents in appropriate uniform with a clean, professional manner.
6.
Ability to handle multiple projects and tasks.
7.
Vision and hearing correctable to within normal range to communicate with tenants, contract services, etc.
8.
Ability to work outdoors in all seasons.
9.
Ability to work at elevated heights.
10.
Able to safely lift 50lbs.
11.
Valid driver’s license and reliable transportation.
V.
EQUIPMENT UTILIZED 1.
Cellphone (CMMS, Microsoft Teams, Outlook).
2.
System controllers (HVAC, security, fire protection).
3.
Various hand tools and power tools.
4.
Ladder, scaffolding and other rigging.
